What Do I Click?

Adding an Auto Attendant

Click the Auto Attendants Icon → Click the blue Add Attendant button → Name the attendant → Give it an extension → Select a Time Frame → Click Add at the bottom. You'll be prompted to set up the ring group options and features. 


Options and Features


Click the Users Icon Click the Edit button icon on the Auto Attendant row. This will bring you to the Attendant's options and features. Once finished, click Save.


Items to Enter and Adjust

  • Auto Attendant Name: This can be renamed even after creation.
  • Extension: This cannot be changed once assigned.
  • Intro Greeting: Used for providing info to the caller prior to hearing the message giving prompts.
    • Greetings can be recorded using a phone or uploaded to the Auto-Attendant.
    • Make sure to select a time frame for this greeting.
      • Only one message/greeting can be used per time frame.
  • Menu Prompt: Click the Menu Prompt Field to record/upload a Menu message informing callers what to press to get to the right service, department, or person.
  • Dial Pad Menu: Set up what digit to dial to move the caller to a destination. 
    • Choices: 
      • User-Takes the caller directly to a user's extension
      • Conference-Takes the caller directly to a conference line. 
      • Call Queue-Moves the call to a call queue.
      • Directory-Takes them to the company directory.
      • Voicemail-Takes the caller directly to a voicemail box. Enter the name/extension of the voicemail box to land in.
      • Voicemail Management-The user will get a voicemail management prompt. This is more for internal use and shouldn't be spoken of in the menu prompt unless the number or auto-attendant is for internal use only. 
      • External Number-Forwards the caller to the phone number entered in the field.
      • Play Message-Plays a special message to the caller. You must choose what happens after the message is played whether to hang up the cal, repeat the prompt, or push it to one of the different options in the auto attendant. (you'll be prompted to record/upload a message for this option. 
      • Repeat Prompt-This repeats the menu prompt again. 
      • Add Tier-This allows you to provide another menu prompt message and set of dialing options. In this tier, you have an option "To go back to the previous menu."
  • Dial Pad Menu Settings
    • Enable Dial by Extension: This allows callers to bypass the prompts by dialing a known extension.
    • If no key is pressed: This will repeat the greeting prompt or follow a dial-pad selection.
    • If an unassigned key is pressed: This will repeat the greeting prompt or follow a dial-pad selection.
    • Timeout before the first key is pressed-: Uses the slider to determine how long to wait before activating one of the above actions.
    • Timeout after the last key is pressed: Uses the slider to determine how long to wait after the last button presses before activating one of the above actions.
    • Maximum key presses: Determines how many key presses are allowed before becoming an invalid response.
